Panduan Menulis Surat Bisnis

Seperti telah dijelaskan bahwa menulis surat bisnis atau surat yang bersifat formal, kita harus menggunakan kaedah-kaedah yang standart dalam penulisan Business English dalam Bahasa Inggris. Di bawah ini sedikit tips untuk Anda bagaimana membuat surat bisnis yang baik dan benar:
  • Rencana sebelum Anda menulis.
  1. Perhatikan betul kata-kata yang Anda butuhkan sebelum Anda mulai.
  2. Catat point-point yang Anda ingin buat, dan susun dengan sistematis
  • Nada
Nada harus ramah dan sopan.
  • Nama
  1. Pastikan Anda memeriksa jenis kelamin si penerima serta ejaan yang benar dari nama seseorang dan Titelnya.
  2. Gunakan Ms untuk perempuan dan Mr untuk laki-laki.Anda dapat menggunakan Mrs untuk wanita jika Anda 100% yakin bahwa dia sudah menikah.
  • Tanggal
Untuk menghindari kebingungan, tulis bulan daripada menggunakan nomor.       (Umpamanya  January 15th, 2010, or 15 January 2010)
  • Ringkas dan Jelas
Semakin mudah untuk memahami isi surat, semakin baik.
  1. Jauhkan kalimat dan paragraf singkat dan sederhana.
  2. Gunakan kata yang tidak mempunyai makna ganda untuk menghindari kesalahpahaman.
  3. Ajukan pertanyaan secara langsung.
  4. Tulis ulang setiap kalimat yang tidak tampak jelas.
  5. Jika penerima bukan Native Speaker, lebih baik gunakan kata atau istilah umum dan tidak rumit
Ingat prinsip ini urutan kata:

Who  -  Does  -  What  -  How  -  Where  -  When
(Subject - Verb - Object - Manner - Place - Time)
             
Contoh:
  1. Mr. Brown will travel by plane to London on Monday, June 5th.
  2. A technician will install the equipment in your office on Tuesday morning.
  3. I will confirm the transport arrangements as soon as possible.
  • Hindari kata-kata kuno
Meskipun kata-kata seperti  'herewith', 'hereby', 'herein', 'aforementioned', etc dapat digunakan dalam Surat Bisnis, namun usahakan untuk menghindarinya. Kalimat di bawah ini akan lebih baik daripada kalimat kedua:
  1. You will find more information on our products in the enclosed brochure.
  2. I herewith enclose a brochure of our products.
